Terms and Conditions

These terms explain how Mavosa Business Services provides business registration, graphic design and administrative support, and how this website and its online application forms may be used.

Terms governing Mavosa’s services

In these terms, “Mavosa”, “we”, “us” and “our” refer to Mavosa Business Services. “Client”, “you” and “your” refer to the person, business or organisation using the website or requesting a service.

Acceptance of these terms

These terms apply when you use this website, submit an enquiry or application, accept a quotation, make payment or instruct Mavosa to begin work.

Where a quotation, invoice, written proposal or service agreement contains additional terms, those specific terms will apply together with this document.

Services

Mavosa provides business registration support, graphic design and administrative support. The precise work, deliverables and exclusions will be confirmed in the relevant application, quotation, invoice or written agreement.

Services not expressly included in the agreed scope are excluded and may require a separate quotation.

Quotations, prices and payment

Prices displayed on the website apply to the stated package or service and may change when the scope, number of directors, complexity, urgency or required deliverables change.

Payment requirements will be shown on the applicable quotation, invoice or application. Mavosa may require full payment or a deposit before work begins.

Any government, statutory, licence, stock-image, printing, delivery, software or third-party fee is included only where it is expressly stated as included.

Work may be paused where an invoice is overdue or where information required to continue has not been supplied.

Client information and responsibilities

You must provide complete, accurate and lawful information, documentation, instructions and approvals within a reasonable time.

You remain responsible for checking names, identification numbers, addresses, spelling, figures, dates, legal details and final deliverables before submission, publication or use.

You confirm that you are authorised to provide personal information and documentation relating to directors, members, employees, representatives or other persons included in an application.

Mavosa is not responsible for an error, rejection, delay or additional cost caused by incomplete, incorrect, outdated or misleading information supplied by the client.

Business registration services

Mavosa assists with the preparation and submission of company registration applications using information provided by the client.

Final decisions regarding proposed names, registrations, amendments, processing times and application outcomes are made by the relevant government authority or third-party system. Mavosa cannot guarantee approval, acceptance of a proposed name or completion by a specific date.

The Private Company package includes up to three directors. Additional directors may attract the fee shown on the application page or quotation.

A Non-Profit Company application and any separate non-profit organisation, tax exemption, funding or regulatory application are treated as separate processes unless expressly included in writing.

Graphic design services

The scope will identify the required design, format, dimensions, intended use, number of concepts and revision allowance.

Additional concepts, revisions, formats, sizes or changes outside the approved brief may be quoted separately.

You confirm that you have the right to use all logos, photographs, text, trademarks, fonts and other material supplied to Mavosa.

The client must approve spelling, dates, contact details, prices, dimensions and other content before final files are issued or sent for printing.

Administrative support

Administrative support may be provided as a once-off task, a defined project or ongoing support, depending on the agreed scope.

Unless specifically agreed in writing, administrative support does not constitute legal, accounting, tax, financial or regulated professional advice.

The client retains responsibility for business decisions, final approval, record accuracy and the lawful use of all documents and information produced.

Timelines and delays

Any delivery date or turnaround time is an estimate unless it has been expressly confirmed as a fixed deadline in writing.

Timelines may be affected by client response times, revisions, missing documents, third-party systems, government processing, technical issues or circumstances outside Mavosa’s reasonable control.

A project may be rescheduled where the client does not provide information or approval within a reasonable time.

Cancellations and refunds

Cancellation requests must be submitted in writing.

Where work has not started, a refund may be considered after deducting any non-refundable government, administrative, payment-processing or third-party costs already incurred.

Where work has begun, Mavosa may charge for work completed, time reserved and expenses incurred up to the cancellation date.

No refund will ordinarily be due for completed work, approved design work, delivered files or an application already submitted to a government or third-party system. Nothing in this clause limits any right that cannot lawfully be excluded.

Intellectual property

Mavosa retains ownership of working files, unused concepts, templates, systems, processes, software, code and pre-existing material unless otherwise agreed in writing.

Once the agreed invoice has been paid in full, the client may use the approved final deliverables for their intended purpose, subject to any third-party licence restrictions.

Fonts, stock photographs, software, templates and other third-party material remain subject to the licence terms of their respective owners.

Mavosa may display completed public-facing design work in a portfolio unless the client has requested confidentiality in writing.

Personal information and confidentiality

Mavosa may collect and process personal information needed to respond to enquiries, provide services, manage applications, issue invoices, maintain records and meet lawful obligations.

Sensitive documents submitted through the Mavosa Forms system are not ordinarily attached to administrative notification emails. They are accessed through the protected WordPress submission area.

While reasonable safeguards are used, no electronic storage or transmission method can be guaranteed to be completely secure.

Third-party services and systems

Some services depend on government departments, payment providers, hosting providers, email services, printers, software platforms or other third parties.

Mavosa is not responsible for an outage, rejection, processing delay, policy change or service interruption caused by a third party outside Mavosa’s reasonable control.

Links to external websites are provided for convenience and do not mean that Mavosa controls or endorses all content on those websites.

Warranties and limitation of liability

Mavosa will perform agreed services with reasonable care and skill, based on the scope and information available.

Mavosa does not guarantee a specific commercial, regulatory, funding, marketing, registration or financial result.

To the extent permitted by law, Mavosa will not be liable for indirect, incidental or consequential loss arising from delayed, rejected or incorrect information, third-party systems, client decisions or use of a deliverable outside its intended purpose.

Nothing in these terms excludes liability or consumer rights that may not lawfully be excluded.

General terms

These terms are governed by the laws of the Republic of South Africa.

If any clause is found to be invalid or unenforceable, the remaining clauses will continue to apply.

A failure to enforce a clause immediately does not amount to a waiver of that clause.

Mavosa may update these terms when services, legal requirements or business processes change. The current version will be published on this page with its updated date.
